Report Center: Everything You Need to Know

Introduction

In this article, we cover the operation of MarketRock's Report Center.

The Report Center includes a set of functions designed to extract information on:

  • Products
  • Orders

available in your MarketRock database. Information export is enabled by configuring a Report.

Once a Report is configured, the export can be done with a click or automatically once a day, and is available in the cloud, in a folder accessible via FTP.

There is no limit to the number of Reports you can create.

Due to its flexibility and automated nature, the Report Center is often used to integrate company management software for importing Orders.

Another common application is for sharing Product information with third-party sales partners, as in dropshipping.

If you're wondering about the ultimate purpose of this feature, be aware that each export can have a different purpose, tailored to each user's specific needs.

However, there are two common use cases:

  1. Order Integration with Management Software. Many management systems have a ready-to-use procedure for importing text files into their database. If this is your situation, you can achieve a simple integration, especially when API integration might take longer and be more costly.

  2. Product Export for Third-Party Sellers (Dropshipping). If you need to share updates on Product Quantities and Prices in your Inventory with third-party sellers, you can use the Report Center by configuring a specific Report. It’s enough to share the Report link to update third-party sellers daily on Inventory changes, particularly on Quantities in stock and any Price changes.

The Report Center allows you to export files in up to 3 different formats, depending on whether you want to export Products or Orders, as shown in the table below:

Format Information
.csv Products and Orders
.txt Products and Orders
.xml Orders Only

After configuring the Report and selecting the desired format, you have two options to obtain it:

  • Manual: By clicking
  • Automated: This option, which you can enable, allows you to export updated information daily, according to the date and time of the export.

All configured Reports appear in the Report Center screen in a table where you can find them listed with the following information:

  • Name
  • Type (whether related to Orders or Products)
  • Link to download the file
  • Active or inactive status
  • Date and time of the last export
  • Scheduled date and time for the next export (if automated export is configured)

Finally, you can specify a Mapping Rule to replace one or more values in your MarketRock database with a different value in the export. For example, replacing the available units in stock with a generic "available."

A Mapping Rule allows you to replace a value in your MarketRock database with a value you'd like in the exported Report file.

Buttons and Their Functions

MarketRock's interfaces are reported by clients to be intuitive. Below is a brief description of the buttons available on the Report Center screen, accessible from General Settings > Report Center.

Configuring a Report

Report Type and Automatic Export (Type tab)

To configure a Report, start by selecting the Type tab. Here, you’ll perform a series of basic configurations as follows:

  • Report Name: This is a custom name also assigned to the exported file. The filename will also necessarily contain the file extension. For example, if you name a Report exported as a .csv file "Management Orders," the exported filename will be "management_orders.csv."

  • Information to Include: Choose between Products or Orders.

  • Automatic Export: Choose whether to export the Report daily as configured. This option is available by checking "Export automatically every day."

  • Enable or Disable the Report.

Automatic export occurs once a day at the time you decide to enable it. For example, if you create a Report at 1:00 PM on November 30, the file will be exported every day at 1:00 PM with updated information for that time. If you disable a Report, automatic export resumes a few minutes after reactivation (if it was disabled for more than 24 hours).


File Structure (Template tab)

Imagine viewing the export in an Excel file. The file structure includes:

  • Column headers: These are the column names. For example, the column containing the article code can be titled "Code," "SKU," or "Identifier." You can assign column headers the names you prefer.

  • Columns: The fields available in MarketRock that you decide to export.

The Template tab adjusts based on the selections in the Type tab, as exporting Products will provide different fields than exporting Orders.

Product Export

  • Product Folder: If left as "select," all products are exported. Otherwise, you can choose a specific folder or a folder with subfolders.

  • Price List: Choose to export only the products within a specific price list, or alternatively, all products across all Price Lists.

  • Valid EAN: Select this to export only products with a valid EAN.

  • Quantity: Choose to export only products with a Quantity greater than zero.

  • Fields: Add information to export by clicking "Add field" and remove it with the "x" button. For each value, you can define the column header name.

All fields can be dragged to the desired order, which reflects the file structure.

For the following values, you can only set the column name:

  • SKU
  • Parent SKU
  • EAN
  • Quantity
  • Brand
  • Amazon Link

For other values, you need to specify exactly which information you want to export. For example:

  • Name and Description: Indicate the language to export.

  • Image: Specify which image to export by choosing its number order based on those visible in the Product's Multimedia tab. This field exports up to 12 images.

  • Attribute: Select the Attribute Set and which Attribute to export.

  • Price: Choose a Price List and whether to export the Discounted Price as well.

  • Fixed Field: Add a column with a fixed value. For example, you could add a column named "MainLanguage" with the value "Italian," so every product in the "MainLanguage" column has "Italian" entered.

Order Export

  • Filters: Choose to export only Orders that meet the following criteria:
    • Orders of a certain Status
    • Orders from a specific Marketplace
    • Only Paid Orders

All fields can be dragged to the desired order, which reflects the file structure.

From the dropdown menu, you can choose which fields to export. Below are the grouped fields:

  • General Order Fields: Order date, Order ID, Order Status, Order Total, Order Total (including shipping), Order Notes, Total Fees, etc.

  • Shipping: Shipping courier, Tracking code, Shipping city, Shipping cost, Country code, Country, Province, Postal code, Address, Phone 1, Phone 2, Email, Shipping cost - Tax, etc.

  • Billing: Billing city, Country code, Country, Province, Postal code, Address, Phone 1, Phone 2, Billing address - client first name, last name, company, etc.

  • Client: Client email, full name.


File Extension and Field Separators (General tab)

Information export can be done in .csv, .txt, and—for Orders only—.xml format.

From here, you’ll find the following options:

  • File Type: Choice between .csv, .txt, and—for Orders only—.xml
  • Field Separator: Choose between comma, semicolon, tab, or vertical bar.

Process Automation (Post Export Actions tab)

The Post Export Actions tab allows you to define actions to perform after generating the file. Available options include:

  • Export to FTP: Enables sending the file to an FTP area, with an option to add date and time to the filename for better integration with third-party systems needing an "export snapshot."

  • Order Status Change: Allows moving orders from one status to another.

  • Trigger Another Export: Useful for complex exports requiring multiple files.


Mapping Rules

You can set Mapping Rules for exported files by clicking on the star icon.

Mapping Rules are used to define values you want on the file that correspond to different values in your MarketRock database.

For example, if you want to export the value "available" if the Product Quantity is 5 or more:

  • Click "+" New Mapping Rule
  • Assign a name to the rule
  • Enable it
  • Choose if the rule is of "text" or "numeric" type
  • Save
